The most reliable references, in order of precision, are: an existing physical swatch or garment in the target shade, a Pantone TCX or similar textile colour code, or (least precise but still usable) a printed colour reference the supplier confirms visually before committing to a lab dip.

Translating an institutional identity into a fabric spec

Schools, hospitals and hotels usually start from a brand or house colour used elsewhere: a crest, a signage colour, a logo. That source colour rarely translates directly into woven fabric, because ink, paint and screen colours behave differently to dyed yarn and finished cloth under different lighting.

The practical approach is to have the mill produce two or three lab dips near the target colour, review them under the same lighting the uniform will actually be seen in (classroom fluorescent light reads differently from daylight), and approve one as the reference standard before any bulk production starts.

What to put in the brief

  • The garment and fabric type the colour applies to (a shirting shade often differs slightly from a trouser shade even in the 'same' colour family).
  • A named reference: Pantone code, existing swatch, or approved lab dip, not a colour word alone.
  • Whether the match needs to be exact (a locked dye recipe) or a close family match (more flexibility, faster turnaround).
  • Any known constraint, such as a fabric that must also meet a GSM or finish requirement alongside the colour.

Locking the standard for future reorders

Once a shade is approved, ask the mill to keep a physical reference swatch on file against the dye recipe used, not just a digital colour code. Digital references can shift slightly across monitors and printers; a physical swatch does not, and it is what a lab technician actually holds up against a new dye batch.
